§ 1 COMPETITION ORGANISERS
TOP DESIGN award 2009 Competition ("the Competition") to accompany the arena DESIGN 2009 event is organised by Międzynarodowe Targi Poznańskie sp. z o.o. (Poznań International Fair) with its registered seat at ul. Głogowska 14, 60-734 Poznań („the Organisers").
§ 2 OBJECT AND PURPOSE OF THE COMPETITION
1. The object of the Competition is to select perfect products in terms of design, quality, workmanship and functionality, such products to meet international standards of modern industrial design and the expectations of international markets and of the end customers.
2. Product is understood as a single article or a single set of elements forming an inseparable functional or decorative unit.
3. The purpose of the Competition is to promote and publicise the achievements of participating Manufacturers and Designers, and the innovative design solutions with a broad international impact. The Competition also sets out to raise awareness of design among businesses and end customers and to point out the need for co-operation between Manufacturers and Designers so that they can attain a superior position in the international marketplace.
§ 3 COMPETITION PARTICIPANTS
1. The Competition is open to Manufacturers and Designers ("Participants") of products in series production which have not been in the market for more than 2 years or which will enter production in 2009.
2. The Competition is open to international participants.
3. Participation in the Competition is on a paid-basis. Competition participation fees are specified in § 10 of these Regulations.
§ 4 COMPETITION JURY
1. The Organisers appoint the Jury for the Competition. The Jury panel will be composed of international experts, design specialists, mass media professionals, government representatives and professionals from architecture and design institutions.
2. The Organisers have no influence on the results of Jury sessions and are not part of the Competition Jury.
3. Members of the Competition Jury shall include the Chairman, Jurors and the Secretary.
4. The Organisers shall appoint the Chairman and the Secretary for the duration of each Competition Stage.
5. The Jury may decide not to award the "TOP DESIGN award" logo, statuettes and certificates.
6. Decisions by the Jury are final and binding.
7. The Jury reserves a right not to give reasons for its decisions.
§ 5 COMPETITION PROCEDURE
1. There are six (6) theme groups for the purposes of the Competition:
1.1. furniture - home textiles - the kitchen - home appliances - lighting - interior architecture
1.2. the office - the company - lighting - communication
1.3. the bathroom - wellness
1.4. building architecture
1.5. public space design
1.6. transportation - special-purpose vehicles - leisure and vacation
2. Products will be ranked by the Jury using the 1-5 scoring system to evaluate the following modern design criteria:
2.1. Level of innovativeness
2.2. Quality of design
2.3. Functionality
2.4. Aesthetic quality
2.5. Ergonomics
2.6. Indicator function
2.7. Working/processing
2.8. Choice of material
2.9. Safety
2.10. Environmental impact
3. The winning entries will be those with the highest total score awarded by the Jury.
4. The Competition will have two stages.
5. Stage 1.
5.1. Between 6 and 7 April 2009, based on Participants' application forms, such forms to be properly completed, the following steps will be taken by the Jury:
5.1.1. The Jury will evaluate and qualify products for Stage 2 of the Competition and the TOP DESIGN exhibition, which entails an award of a prestigious "TOP DESIGN award 2009" logo and certificate to the qualified entries.
5.1.2. The "TOP DESIGN award 2009" logo certificate will be sent together with a CD containing an electronic version of the logo in a variety of formats.
5.1.3. On receipt of official information that a product has been qualified for Stage 2, the awarded "TOP DESIGN award 2009" logo can be used for promotional purposes. The logo may be used in press releases or advertisements of the qualified product, on product packaging, etc. The "TOP DESIGN award 2009" logo may be used solely in conjunction with the Jury-awarded product. The logo will be valid for the entire duration of the product's market life cycle.
5.1.4. Stage 1 results will be notified to Participants by e-mail (at such addresses as have been indicated in Participants' applications) by 24 April 2009, at the latest.
6. Stage 2.
6.1. Participants whose products have been qualified for Stage 2 of the Competition must:
6.1.1. make their qualified product available for the TOP DESIGN exhibition;
6.1.2. purchase a participation package appropriate for the size of the qualified product;
6.2. All Stage 2 qualified products will be presented in the "arena DESIGN 2009" Catalogue, with each product to have one page in the Catalogue.
6.3. Stage 2 qualified products, i.e. products that will compete for the "TOP DESIGN award 2009" statuette, will be presented at the TOP DESIGN exhibition to accompany the arena DESIGN 2009 event, on 3-6 June 2009.
6.3. Products will be evaluated by the Jury in Stage 2 of the Competition, i.e. on 3 June 2009.
6.4. The Jury will select one Competition winner in each of the six theme groups.
6.5. Competition results will be officially announced together with information on the award giving ceremony on 3 June 2009, 4.00 p.m., in Pavilion 7A on the MTP grounds.
6.6. The winners of Stage 2 will be given:
6.6.1. "TOP DESIGN award 2009" statuette to be handed at the official awards gala on 3 June 2009, and
6.6.2. a certificate and a CD with photo materials, to be sent after 15 June 2009.
§ 6 PRIZES

§ 7 ANNOUNCEMENT OF COMPETITION RESULTS
Stage 1: by 24 April 2009
Stage 2: 3 June 2009, 4.00 p.m., Pavilion 7A on the MTP grounds
§ 8 TERMS OF PARTICIPATION. REQUIRED DOCUMENTS
1. In order to participate in the Competition, Participants must comply with the following formalities within the timeframes as specified in § 9 of these Regulations:
1.1. A Participant must register using an on-line registration form and send a signed written Competition entry form to MTP at the address of MTP's registered office.
1.2. Registration forms are available from the Organisers' website at www.arenadesign.pl.
1.3 Each Manufacturer or Designer may register any number of products but each product must be registered separately and fees must be paid in accordance with § 10 of these Regulations.
1.4. Filled-in forms must be complete and contain all the necessary information on:
1.4.1. Manufacturer or Designer (contact data, contact person, necessary VAT invoice particulars) and company logo (colour and black & white versions, .ai format file, vector-based (curve-based text)), each file up to 1 MB in size (width of between 10mm and 100mm).
1.4.2. product entry:
- a statement that the product is in series production and has not been in the market for more than 2 years or will enter production in 2009;
- product entry category in accordance with the theme groups as specified herein;
- product name;
- Designer's name;
- Manufacturer's name;
- short description of a product, its functions and design, in Polish and English (up to 600 characters for each language, including punctuation marks). The descriptions will be the basis for selection and evaluation of products in Stage 1 of the Competition.
- two product photographs: .jpg format, 300 dpi resolution, CMYK colour format, file size up to 3 MB (150 x 150 mm). Product photos are an inseparable part of your product entry. Each participant may only send 2 photographs for each product entered in the Competition. This will help the Organisers ensure that all participants are subject to the same terms of participation in the Competition.
1.4.3. Participant's statement that the product's legal situation is clear (author's economic rights).
1.5. By sending their registration forms to the Organisers, Participants accept the terms of these Regulations and confirm their participation in two stages of the Competition, which entails acceptance of all obligations under § 10 of these Regulations.
1.6. On registration, an identification number will be assigned in the following format: "TD2009_FIVECHARACTERNUMBER". The number will serve as an identification number of the product. The assigned number must necessarily be used in whatever you do relative to the Competition, including in correspondence, fee payments, product packaging, etc.). This will help the Organisers quickly to identify the product and all necessary actions related to its participation in Stage 1 and Stage 2 of the Competition.
1.7. The registration fee must be paid under a VAT invoice received. This is a necessary condition for participation in the Competition.
1.8. On receipt of information that their product has been qualified for Stage 2 of the Competition (and, through that, for presentation in the TOP DESIGN exhibition), the Manufacturer or the Designer, as the case may be, must:
- by 30 April 2009, send a photograph of the qualified product (fully corresponding to product information and photo documentation in the registration form) to an account made available by the Organisers on the FTP server. Such photograph will be used for publication purposes in the "arena DESIGN 2009" Catalogue. The Manufacturer's or the Designer's folder must necessarily have an ID number assigned during registration. The product photo (high resolution for print purposes) will be as follows: colour, .tiff format, 300 dpi resolution, CMYK colour format, 150 x 150mm format. Should any Participant fail to send the product photo within said time frame, such Participant will be considered to have decided not to place information and the photo in the "arena DESIGN 2009" Catalogue;
- ship the product at its own cost (properly secured and marked with a product ID number) to the Organisers at the following address: MTP ul. Głogowska 14, 60-734 Poznań (we recommend that the package be insured prior to shipment);
- the product must be fully compliant with product information and photo documentation in the registration form.
1.9. Obligatory payments must be made relative to participation in Stage 2 of the Competition (Organisers will send a VAT invoice to qualified Participants, such invoice to be used for fee payment purposes) and a confirmation must be sent to the Organisers either at: MTP ul. Głogowska 14, 60-734 Poznań, or by e-mail to arenadesign

1.10. After the exhibition Participants must pick up their products at their own cost within the timeframe specified in § 9 of these Regulations.
§ 9 TIMELINE
1. 27 March 2009: product registration deadline.
2. 6-7 April 2009: Competition Stage 1, product classification and qualification for Competition Stage 2 and TOP DESIGN exhibition. Award of a prestigious "TOP DESIGN award 2009" logo.
3. 24 April 2009 at the latest: Participants to be notified by e-mail (sent to Participants' respective e-mail addresses) of Stage 1 results (information on product qualification for Competition Stage 2 and TOP DESIGN exhibition and on "TOP DESIGN award 2009" logo award).
4. As of 24 April 2009: Participants are sent "TOP DESIGN award 2009" certificates including a CD with an electronic logo version in a variety of formats.
5. 30 April 2009 at the latest: a photograph to be sent of a product qualified for publication in the "arena DESIGN 2009" Catalogue, as per technical parameters specified in § 8.1.8 of these Regulations.
6. 31 May 2009 at the latest: Participants to send qualified products marked with their respective identification numbers to MTP's address. Address for delivery:

7. 1-2 June 2009: TOP DESIGN exhibition participants to install/assemble their products (between 8:00 a.m. and 9:30 p.m.).
8. 3 June 2009: "arena DESIGN 2009" Catalogue to be officially published.
9. 3 June 2009: Stage 2 Jury session, "TOP DESIGN award 2009" statuettes for perfect design to be awarded in each of the six theme groups.
10. 3 June 2009: 4.00 p.m., Pavilion 7A on the MTP grounds: Competition results to be officially announced together with information on award giving ceremony.
11. 3 June 2009: awards gala ("TOP DESIGN award 2009" statuettes for perfect design).
12. 6 June 2009, after 5.00 p.m., until 8 June 2009: participants to pick up their products. Products which will not be picked up within that timeframe will be scrapped.
13. As of 15 June 2009: winners to be sent certificates with a photo CD.
§ 10 FEES
1. A competition participation fee is PLN 400 + VAT per single product.
The Manufacturer or the Designer applying to participate in the Competition are obligated to cover the costs for each of the products entered into the Competition. The due charge will be based on an invoice made out by Poznań International Fair. The fee is non-refundable.
2. Exhibition package fees. The party entering the product is obligated to order a participation package appropriate for the size of the qualified product.
2.1. Package cost
The TOP DESIGN exhibition space is solely intended for the purpose of exhibiting the qualified product. The size of the particular exhibition area is necessarily dependant on the size of the product entered into the Competition.
One participation package allows for the exhibition of one single product.
2.1.1. Participation packages with exhibition areas in the TOP DESIGN zone (exhibition):
a) package A with 1m2 area PLN 4,000.00 +VAT
b) package B with 2 m2 area PLN 6,000.00 +VAT
c) package C with 4 m2 area PLN 8,000.00 +VAT
d) package D with 6 m2 area PLN 10,000.00 +VAT
e) package E with 8 m2 area PLN 12,000.00 +VAT
f) package F with 10 m2 area PLN 14,000.00 +VAT
g) package G with 12 m2 area PLN 16,000.00 +VAT
h) package H with 14 m2 area PLN 18,000.00 +VAT
i) package I with 16 m2 area PLN 20,000.00 +VAT
Packages A-I consist of:
- exhibition space of the size defined in the package description, decorated and arranged to fit the design of the TOP DESIGN space (style consistent with the design of the Pavilion);
- a 1m2 stand of selected height: 30 cm, 60 cm, or 90 cm;
- carpeting;
- product information plate (black & white corporate logo, company name, website address, designer's name, product name and short description). On the first day, a number will be put over the product information plate for competition purposes. The number will be removed following the Jury session;
- one-page entry in the „arena DESIGN 2009" catalogue (colour corporate logo, company/manufacturer name, website address or telephone number, designer's name, product name, product information, text in Polish and English up to 600 characters for each language, including punctuation marks, a photograph of the qualified product);
- 1 copy of the catalogue;
- 1 permanent car entry card for the Poznań International Fair complex;
- 2 exhibitor's cards, enabling the holders to access the MTP grounds;
- 2 invitations for the banquet.
If the products to be presented at the exhibition require electric power supply, the package also includes:
- 1 power supply connection of 0.1-3.0 kW (1x16A)
- 1 230 V socket
2.1.2. When the size of the product entered into the competition is beyond the maximum 16 m2, it is possible to purchase additional space of up to 32m2.
- The cost of every square meter of extra exhibition space beyond the maximum 16m2 is PLN 1,250.00 + VAT.
2.1.3. When the size of the product entered into the competition is beyond the maximum 16 m2, it is possible to order a large-format product information plate.
- Package with the large-format plate - PLN 4,000.00 + VAT.
The package includes:
- a large-format product information plate (size 90 cm x 130 cm print);
- one-page entry in the „arena DESIGN 2009" catalogue (colour logo, company/manufacturer name, website address or telephone number, designer's name, product name, product information, text in Polish and English up to 600 characters for each language, including punctuation marks, a photograph of the qualified product);
- 1 copy of the catalogue;
- 1 permanent car entry card for the Poznań International Fair complex
- 2 exhibitor's cards, enabling the holders to access the MTP grounds
- 2 invitations for the banquet
§ 11 FINAL PROVISIONS
1. Information and photographs contained in the registration form will be used for promotional purposes. As regards applicants' address and contact information contained in other forms, the organisers may use such information for marketing and promotional purposes.
2. The Organisers reserve a right to a free-of-charge publication of all information on prize-winning products. Such information may be published either in part or in whole after the Competition results are decided, with rights of copyright owners to be respected.
3. The Organisers will not pay any costs related to product delivery and pickup.
4. The Organisers will not be liable for products in their care, or for their loss or damage, or for loss of their properties resulting from such products being improperly secured.
5. If a product is delivered that deviates in any way from product description in the registration form and photo documentation, the Organisers may refuse to enter any such product in the Competition and its accompanying exhibition. Where this is the case, a competition participation fee will not refunded.
6. By entering the Competition, each participant accepts the terms of these Regulations.
7. The Organisers shall decide on any matters which have not been addressed in these Regulations.
8. The Competition Regulations are available at the location of the Organisers' registered office and at www.arenadesign.pl.
9. The Organisers reserve a right to amend these Regulations. The amended Regulations are effective as of their publication on the website.
